How do I carry an employee’s unused holiday allocation into the next leave year?

If you want an employee to be able to carry any unused holiday allocation into a new holiday year, this can be done in two ways. It can be automated, through the use of Allocation Schedules, which can automatically carry over unused leave from one year to the next, or it can be done manually by editing an employee’s allocation for the new year.

To carry unused leave forward manually, simply navigate to the employee’s record from the “Employees” option on the main menu, then click on the “View/Edit Allocation” button to edit the current year allocation. (Note: If you wish to edit a different year’s allocation, select this year first from the “Select Period” dropdown list before clicking on the “View/Edit Allocation” button).

When the “View/Edit Absence Allocation” page is shown, simply enter the amount of holiday to carry forward in the “Carried Forward” field. If the carried-forward allocation is to be used within a specific period, then enter a date for the carried over amount to expire in the “Carry Forward Expiry Date” or check the “Carried over allocation does not expire” checkbox if the carried over leave does not expire.

Finally, click the “Update” button at the bottom of the form to save the changes.


Important: Carrying leave forward will not change the allocation shown on the previous year. This is to ensure that historic records are correct.
