How can I change an employee's absence allocation between tracking in days or tracking in hours?

By default, employee absences and allocations are calculated in either days or hours, depending on the option you selected when setting up your SMB account. However, there may be instances where you wish some employees to be tracked in hours and some to be tracked in days. SMB allows for individual employees to be tracked in either way.

To change an employee’s tracking method, navigate to the employee’s record from the “Employees” option on the main menu and then, when on their dashboard, click on the “Settings” button in the “Absence Allocation” panel.

On the page that is then shown, you will see three options at the top of the page and a summary of the current Allocation Schedule, the method of tracking absences and the current Allocation Rule. Click on the “Change Absence Tracking” button and a form will be displayed where you can amend the settings for the employee.

If the employee is currently being tracked in days, the form will give you the option to switch them to hourly tracking (or vice versa) and a textbox showing the default full time allocation in the new measurement method. Check that you are happy with the new base allocation, or amend as required, and click “Change Tracking” to apply the change.

Note: The system will then recalculate the absence allocation for the employee as well as switch the measurement method on all existing absences. You may notice a slight difference in recorded durations on absences, particularly when switching from daily tracking to hourly tracking. This is because absences that aren’t exactly quarter, half or three quarter day absences are tracked with much greater fidelity in hours – a 3 hour absence might be recorded as a half day absence when tracking in days but only 3 hours when tracking hourly.
